2. Secondary Calendar
A secondary calendar is any calendar other than the user's primary calendar. Examples include team, project, department, customer, and operational calendars.
Only secondary calendars can be transferred to another owner; primary calendars cannot be transferred in the same way.
3. Ownership Transfer
Before deleting a user account, Helpdesk/IT must review and transfer ownership of required secondary calendars. Otherwise, calendars, events, access, and business appointments may be lost.

4. Recommended Offboarding Process
Identify → Review → Transfer → Verify → Delete
- Identify: Check whether the departing user owns any secondary calendars.
- Select Owner: Assign an active user from the same organization as the new owner.
- Transfer Ownership: In Google Calendar, open Settings and sharing → select the new owner → Transfer ownership → confirm.
- Accept & Verify: The new owner accepts the transfer and verifies calendar access, events, and permissions.
- Delete: Delete the user account only after successful verification.
5. Google Admin Console Assistance
If Helpdesk or the calendar owner cannot complete the transfer, escalate to a Google Workspace Administrator.
The administrator should:
- Review the user's account and calendar ownership.
- Transfer required secondary calendars to an active user.
- Verify access and calendar availability.
- Confirm completion before account deletion.

6. Verification Checklist
- Before deleting the user account, confirm:
- All required secondary calendars are identified.
- A new owner is assigned and ownership is transferred.
- The new owner can access the calendar, events, and permissions.
- Future appointments and required resources are available.
- Delete the account only after all checks are completed.
7. If the User Account Has Already Been Deleted
Do not recreate the calendar immediately. Escalate to a Google Workspace Administrator to check whether the account can be restored or the calendar recovered through a supported method.
8. Best Practice
Best Practice: Review and transfer all required secondary calendar ownership before deleting a user account. Assign business-critical calendars to an active employee responsible for managing them.
Option 1: If You Are the Current Owner (Aaliyah Lucas)
If this is a secondary calendar created by Aaliyah, only Aaliyah can transfer ownership through Google Calendar:
- Log into Google Calendar as Aaliyah (alucas@xonar.com).
- Go to the calendar's Settings and sharing > Shared with specific people.
- Find the person you want to make the new owner (e.g., Luciana Soares).
- Click the dropdown menu next to their name (where it currently says Make changes and manage sharing).
- Select Transfer ownership.
- Confirm by clicking Transfer ownership on the pop-up. An email invitation will be sent to the recipient, who has 60 days to accept.
Option 2: Via Google Workspace Admin Console (Admins Only)
If Aaliyah is unavailable or has left the organization, a Workspace Administrator can transfer secondary calendars:
- Go to the Google Admin Console.
- Navigate to Apps > Google Workspace > Calendar.
- Click Event and Secondary calendar management.
- Select Secondary calendar transfer.
- Enter alucas@xonar.com under From user and the new owner's email under To user.
- Click Transfer Secondary Calendars.
Option 3: If This Is a Primary Calendar (Workarounds)
Google Workspace does not allow changing the owner of a user's primary calendar. If this is Aaliyah's primary calendar, use one of these alternatives:
- Grant Co-Owner Access: Set the user's permission to Make changes and manage sharing (as Luciana and Vyshali currently have). This gives them full managerial control over the calendar and events.
- Export and Re-Import: Click Export calendar at the top of that settings screen to download an .ics file. The new owner can then create a new calendar in their own account and import the events into it.
